Villa rules for Sea Cloisters are attached to the rental agreement. OUR HOURS: The office is open Monday thru Saturday from 9:00am to 5:00pm. You are able to make reservations 24 hours a day online at our website: www.HiltonHeadPropertiesRandR.com. You are allowed to book your reservation within 7 days of your stay at current rates. CHECK IN: Occupancy is not available until property is declared ready by agent. No exceptions to this policy will be made. We will make every effort to have all properties prepared for your arrival but we cannot guarantee it. We will e-mail your complete check-in package to you once your final deposit is received (*Full balance must be paid 30 days prior to arrival and rental agreement signed and returned). CHECK OUT: Guest not departing on time are subject to additional charge of $500.00. ADVANCE RESERVATIONS: Current guests have the first option to rebook the same property for the following year at the same rate if the property is available. The advance reservation must be made within 1 week after the current year’s departure and deposits must be received in 14 days. RATES: We act as an agent for individual property owners. We are not responsible for typographical errors in the brochure or on the Internet. Published rates are weekly (Saturday to Saturday) and reflect payments made by cash/check. All rates, taxes and fees are subject to change without notice. All of our properties rent on a weekly basis (Saturday to Saturday) from June 1 – August 31. PAYMENT POLICY: A deposit of 50% of the total price is required for all reservations within 14 days of making the reservation. The deposit includes departure clean, rental insurance for damage and 50% of the tax. The final deposit is due 30 days prior to arrival. Reservations and deposits made within 30 days of arrival must be paid in full by credit card at the time of booking. CANCELLATION POLICY: For a refund of monies, cancellation must be in writing and received 60 days prior to arrival. Cancellations made outside of 60 days are subjected to a $300 cancellation fee. For cancellations made between 60-30 days from arrival will forfeit 50% of their deposit.   For cancellations made 30 days or less of arrival, the cancellation fee will be the forfeiture of the entire deposit. Please see section below for the monthly rental cancellation policy.  Cancellation Insurance is available for an additional fee.  (This insurance is available only to guests who reside in the U.S. and Canada. Third party reservations are also not eligible.) No refunds will be given for early check-outs or no-shows. METHODS OF PAYMENT: We accept check, wires, Visa, MasterCard, American Express and Discover credit cards. Make checks payable to Hilton Head Properties R&R. Please remember to include your reservation number on your payment. All payments must be paid in U.S. dollars. There is a $50 handling fee for all returned checks. Hilton Head Properties includes rental insurance for damage on all properties rented for over 3 days. MONTHLY RENTALS: A 50% prepayment is due at time of reserving. Full refunds less $100 are available for cancellations over 90 days. Cancellations less than 90 days will result in loss of all deposits plus $100. There will be no refunds for early checkouts, no-shows, or inclement weather. Damage insurance is included in the rental rate. TAX: A Town and State tax totaling 11% is added to all reservations unless the guest stays over 90 consecutive days. THE VACATION FEE INCLUDES: RENTER AGREES: To be responsible for any intentional damage or negligence resulting in damage to the premises, including damages to the furnishings and household items, which occur as a result of your occupancy, excluding normal wear and tear or accidental damage over $5,000. An additional cleaning charge may be incurred if upon departure the property is inspected and found to require more than the normal check-out cleaning. Agent or owner will not be liable for any damages to the property, nor liable for any accident that may occur to you during your occupancy in or on the property. Owner or Agent may re-enter premises at a reasonable time for the purpose of making repairs or for routine maintenance. Owner or Agent is not responsible for articles left on premises. All properties are non-smoking. We make every attempt to make sure the home or villa rented is in good working order when you arrive. If you do encounter a maintenance problem in the home or villa, it will be handled in a timely and professional manner. The rental rate will not be adjusted due to any malfunction of equipment, this can happen at anytime and anywhere. Hilton Head Properties R & R is not responsible for resort amenities such as scheduled pool and spa closures, etc. At the time of this publication, all home and villa amenities are accurate to the best of our knowledge. SECURITY DEPOSIT: An approved credit card number must be on file in the name of the renter to hold as a security deposit in the case of damage or extraordinary cleaning after your departure. We inspect each property before and after all guest stays. If furniture is moved you will incur a charge to move it back. EXPRESS CHECK-IN: For your convenience, we email your code, car passes, directions and activities guide once your final deposit is received. We must receive your signed rental agreement and pool waiver before we can mail out your keys and car passes. CHECK-IN is after 4:00pm – CHECK-OUT is by 10:00am on the day of departure. Renter agrees to scheduled arrival and departure times. We make every effort to ensure your property is ready by 4:00pm but we cannot guarantee it. GUEST: Guest understands that should the property become unavailable for guest’s use through the sale of the premises or other disposition, owner occupancy of premises or other circumstances beyond the reasonable control of the rental agent, the agent may substitute with the best available, comparable resort accommodations for the same period. This will not be done without mutual agreement by guest and agent. TRAVEL INSURANCE: Protect your travel investment. Please let us know if we can help you add this to your plans. HURRICANE & WEATHER REFUND POLICY: No refunds will be issued for any situation arising from hurricanes including evacuations without Travel Insurance coverage. No refunds will be given for cancellation or interruption of your stay due to other inclement weather. PETS: We have some “pet-friendly” accommodations; however, pets are not allowed during the Summer season or holidays as they are not allowed on the beach per town policy. This will be strictly enforced. If you are found in violation of the policy, Agent reserves the right to immediately cancel your rental reservation and guest will forfeit all monies and incur a minimum additional penalty of $500. KEYS/CAR PASSES: You will be provided with a door code to your rental property. If a charge is required for gate passes per car, this fee will be passed on to the rental guest. Sea Pines is currently $15 per car and Palmetto Dunes is $10 fee for each car pass requested. The number of car passes issued is limited to the number of bedrooms for the property. Some properties have limited parking spaces available, please plan accordingly. TELEPHONES & INTERNET: Unlimited wireless internet, local and toll free calls are included at no additional charge. For long distance, please use cell phones or credit card. All properties are equipped with WiFi. Instructions are posted in each property. PROHIBITED VEHICLES: Trailers, U-hauls, Motor Homes, Motorcycles and/or commercial or recreational vehicles are prohibited in the Plantations on Hilton Head Island and the Sea Crest Resort. NO watercraft trailers (boats, jet skis, etc.) are allowed into the Plantations without prior arrangements for dry dock and/or boat slip. Parking is not allowed on streets. Please call us if you need suggestions on storage of your trailer. GARAGES: Garage use varies from home to home. Some garages are used for owner storage, please inquire before reserving. FIREPLACE: All fireplaces are not available for guest use unless prior approval is made by the agent with tenant. LOST AND FOUND: Lock all doors when you leave your accommodations. Do not leave money or valuables unattended in the property; neither Agent nor the owner will be held accountable or liable for any thefts. Items left behind will be returned only upon request. REPAIRS: Even the best or newest equipment occasionally malfunctions and cannot be guaranteed 100% of the time. HH Properties R and R uses the best maintenance personnel available. Problems are corrected as soon as possible. Agent or an authorized employee or repairman may enter the premises during business hours for any purpose connected with the repair, care or maintenance of the premises. Refunds will not be issued due to malfunctioning equipment or other guest dissatisfaction. Hilton Head is a highly desirable developing resort area with houses under construction. We do not move people or give refunds due to construction noise. USE: Any use of the dwelling other than residential use during a family vacation must be approved by the Agent. If the dwelling is to be used for any event such as weddings, receptions, “parties” or large gatherings, the Guest agrees to submit a request for approval to the Agent and adhere to the Agent’s determination on that request. If the Agent approves the event, the Guest may be required to pay an additional deposit. If Guest does not report the event, the Guest agrees that the Agent may refuse occupancy or have the dwelling vacated and that the Guest will not be entitled to any refund. RENTER: Renter understands that we will accept families, married couples, and responsible adults 25 years of age or older with the exception of married couples where at least one of the individuals is 21 years of age. Hilton Head Properties R & R does not rent to high school, college individuals or groups. The person signing the rental agreement must occupy the premises the entire length of the reservation. Each rental is limited to the number of people indicated on your reservation. Prior arrangements must be made with our office if any items will be mailed or shipped to you during your stay. POOL HEATING: Private pools are cleaned once a week with an additional clean scheduled during the summer season. In the interim, a skimmer net has been provided. There will be a charge for an extra cleaning. Most pools can be heated, for an additional charge (plus tax), and will be activated 24-48 hours prior to arrival.
